Knowledge Hub for NPO Ecosystem in Pakistan:

The i-Care Foundation prides itself on the strong monitoring and evaluation framework it has in place. Any and every non-profit organization onboarded with the foundation is required to provide extensive background materials and certifications for review. We go through a thorough Due Diligence checklist before making site visits to meet with staff and get a better understanding of operations and programs.

Below is a list of requirements a charity looking to become an approved partner must satisfy:

1. The i-Care Foundation’s Compliance Policies (Mandatory)

  • Grantee Disbursement Information Form
  • Signed Due Diligence Affidavit
  • Signed Debarment and Suspension Certificate
  • Signed Anti-Terror Certificate
  • Signed Non-Discrimination Certificate

2. Certifications (Mandatory)

  • Certificate of incorporation (as an NGO/non-profit)
  • Certification from any state or national government agency (e.g. related to either status as a nonprofit, NGO, charitable, or social organization; tax exempt status; and/or an organization’s activities which may be regulated, such as health or education services.)
  • Annual governmental filings required to update or maintain such status.

3. Financial Documentation (Mandatory)

  • Financial statements (Actual, audited if available)
  • Please provide tax returns and financial statement(s) showing your most recent three years. If your finances are not audited, please send us an additional year of tax returns and financial statements.
  • Budget for Next Year.
  • Budgets should include information on sources of income and expenditures: How funds are applied and other donors to your organization.

4. Organizational Documents (Mandatory)

** Please provide one or more of the following.
** Must include charitable purpose and dissolution clauses.

  • Articles of incorporation
  • Charter
  • Bylaws
  • Board Votes and/or Policies relating to Funded Project

Organizational documents should explain charitable purpose of your organization, management of the organization, management compensation, conflict of interest policy, scholarship program and method of choosing recipients, fundraising, financial tracking, methods, board members expectations, and the exit strategy if the organization dissolves.

5. Personnel, Affiliates, Relationships and Financial Holdings

  • List of Staff and Board Members
    The list should be ONLY names (not titles) of Staff and Board Members. As per the US Patriot Act regulations, we will be running this list against the U.S. Treasury Department’s list of “Specially Designated Nationals and Blocked Persons”. Please send us the names typed in a .txt file which can be created in Notepad on your computer.
  • List of all affiliate organizations and family/business relationships of Board members and executive staff with vendors/suppliers (as well as relationships with ICFP Board or Staff members)
  • Description of any relationships between your Staff and Board members and recipients of your charitable funds
  • List of Significant Donors
  • List of all Financial Institutions
  • Please list all the financial institutions where you currently hold an account. These will also be checked with the Treasury’s database, as per the US Patriot Act Grantmaking Guidelines.

6. Program Materials

**Please provide one or more of the following

  • Annual Report (Most Recent)
  • Program Descriptions and Materials
  • Brochures/Pamphlets
  • Other Public and Printed Information

7. Letter of Reference (Mandatory)

Please include 1 (or more) letter of reference from a third party (board, staff, or family member is not appropriate). Possible reference providers include: field partners, other grantors, US or international organizations who know your work. Please provide contact information and ask references to submit the letters on official letterhead. References should be able to address:

  • The nature and scope of their relationship to you
  • Any praise, thoughts, or concerns regarding your organization’s approach and strategy, including:
  • Financial management
  • Your organization’s code of conduct
  • Strategies for addressing the core social need
  • To the best of your knowledge, do you discriminate your services on the basis of race, gender, or religion?
